Your Vendor Records Matter for GST and TDS Compliance

Most businesses pay attention to vendor data only after something goes wrong. A GST notice arrives, a payment reaches the wrong account, or an auditor asks for a reconciliation. Yet vendor master data affects every invoice, payment, and tax return. Accurate records support reliable books, timely filings, and healthy supplier relationships.

GST Details and Input Tax Credit

Each vendor profile should carry the correct GSTIN, legal name, and state code. If these details are wrong, the invoice may not appear in your GSTR-2B, and the related input tax credit can be denied or reversed. Regular status checks on the GST portal also reveal cancelled or suspended vendors.

PAN and TDS Classification

A valid PAN is essential for correct tax deduction. If PAN is missing or inoperative, TDS is generally deducted at a higher rate, which can be 20%, and the vendor may struggle to claim credit. The vendor category matters equally. Contractors, professionals, and landlords fall under different sections and rates, so a wrong classification can lead to short deduction, interest, and disallowed expenses.

MSME Status and Payment Deadlines

Under the MSMED Act, payments to micro and small enterprises must be made within 15 days, or within 45 days if a written agreement exists. If payment is delayed beyond this period, the expense is allowed as a deduction only in the year of actual payment, which raises your taxable income for the earlier year. Interest may also be payable to the supplier. Recording each vendor's MSME status and Udyam number helps you monitor these deadlines.

Duplicate Entries and Outstanding Balances

When one supplier appears under several spellings, transactions are spread across multiple accounts. Outstanding balances become unreliable, payments may be duplicated, and reconciliation takes longer. Auditors also question balances that cannot be traced to a single party, and unclear records make fraud easier.

Best Practices for Periodic Review

Verify vendor details at onboarding and review them at least twice a year. Collect the PAN, GST certificate, and Udyam registration before the first payment, and confirm each on the official portals. Merge duplicate records on a fixed schedule. Keep the person who requests a change separate from the person who approves it.

Conclusion

Clean vendor records are a basic requirement for sound financial management. Accurate GST details protect input tax credit, correct PAN and TDS classification prevent short deduction, and updated MSME status keeps payments on time. The effort is small compared with the cost of notices, disallowed expenses, and lost credit.
